Freelance Event Manager

We run 100’s of events each year. The when and where is somewhat sporadic. We might have 6 events on the same day (the record is 35!) and other days none. The event venue may be in the UK, or Europe or even further afield (and sometimes virtual).

To help us deliver an excellent experience for our clients each and every time, we have a pool of freelance event managers who lead our onsite team in setting up and running our activities for our corporate clients.

What a typical day looks like

The role is often varied, depending on the style of team building event we’re running, but there are some key elements that are consistent throughout. 

Prior to the event date, you’ll receive the full event details. Read, understand and ask questions to ensure you are fully in the picture, so you’re in the best place to give an A1 performance on the event day.

On the day (and sometimes a day or two before), you’ll travel to the event location (either direct from your home, or via our head office near Hertford) – if you can drive, that’s a bonus. If you can drive a van, then you’ll be even better still.

Managing our team on the day to ensure tasks are allocated out effectively. 

Once at the venue, you’ll manage the team to ensure set up tasks are allocated out effectively. 

During the experience, you’ll have an overview of everything and are a spare pair of hands should anything need dealing with in the moment, ensuring that the client experience continues unabated.

You’ll liaise with the venue contact to ensure we work seamlessly with the venue’s team to maximise the delegate experience.

You’ll liaise with the key client contact on site, to ensure all expectations are aligned. Helping them whenever possible to help take the strain (so they can relax and enjoy their day more fully)

You’ll be the key liaison for any relevant suppliers on the day (caterers, AV technicians, etc.) to ensure everyone’s on the same page.

Once the event has concluded, you’ll oversee our team to break down all the kit and load it back into the van for the return journey.

Just before leaving the venue, you’ll run a post event debrief with the team to learn from the team how everything went from their perspective and whether anyone has any ideas of what we could do differently next time to improve further.

You’ll then write a post event report highlighting key information (e.g. equipment that requires maintenance, how the team performed on the day, etc.)

The mindset & attitude we look for

Unlike most other team building companies, you won’t have to worry about hosting or presenting as well, so you can focus 100% on making sure everything is set up and ready in time and the team on the day are fully briefed. A separate host and presenter will lead the client group through their experience. 

You’ll be expected to support the rest of the Blue Hat team onsite so they can be at their best too. If you can help someone else bring their game up a level, that’s a win.

You should have a analytical and proactive mind, thinking ahead for any potential problems and taking action early so they don’t come to bare.  

It’s really important to us and our reputation that we treat the venue we are working at with respect, always leaving it as we found it. That includes the spaces we work within as much as the people.
